Privacy

This policy applies to www.keltosgroup.com and to the information Keltos Group LLC handles when you enquire about management, apply for a home, or rent one from us. It does not cover a property owner’s own handling of information.

What you give us. Your name, email address, phone number, the property address, and whatever else you include when you contact us. If you apply for a home, that extends to the information on the application: employment and income, rental history, references, and identification.

What the site records. Standard server logs — IP address, browser, the pages requested, and the time. We use these to keep the site working and secure.

To answer you, to assess applications, to manage tenancies and maintenance, to meet our obligations to owners, and to comply with housing, tax, and record-keeping law. We do not sell personal information, and we do not share it for advertising.

Rental applications are assessed against written criteria applied the same way to every applicant. Screening may involve a third-party consumer reporting agency. If we decline an application wholly or partly because of a report, we will tell you and identify the agency, so you can obtain a copy and dispute anything inaccurate.

Where you are moving for work, we confirm your employment and start date with your employer. That exchange runs one way: we ask only what verification requires, and we do not disclose the contents of your application, your credit information, or the outcome to them.

Service providers who work on our behalf — screening agencies, payment processors, maintenance contractors attending your home, and our software providers. Property owners receive what they need to make decisions about their own property. We also disclose information where the law requires it, or to establish or defend a legal claim.

This site uses only the cookies needed to keep you signed in to the staff area. There is no advertising or third-party analytics tracking on it.

Enquiries are kept while we are in contact and for a reasonable period after. Tenancy and application records are kept for as long as housing, tax, and limitation law requires, then deleted.

You can ask what we hold about you, ask us to correct it, and ask us to delete it where we are not required to keep it. Depending on where you live, you may have further rights under your state’s privacy law. Write to contact@keltosgroup.com and we will respond within the time the law allows.

Access to personal information is limited to staff who need it, and the site is served over an encrypted connection. No system is perfect, so if a breach affects you we will tell you as the law requires.

The site is not directed at children, and we do not knowingly collect information from anyone under 13 except as part of a household on a rental application submitted by an adult.

If this policy changes we will post the new version here and update the effective date above.
